About ClearCause Registry

ClearCause Registry is a public transparency platform for Discord-based communities that represent themselves as operating in the public interest. We maintain a voluntary registry where such groups can publicly disclose their purpose, leadership, and activities.

ClearCause is NOT:

  • A regulatory authority or government body
  • A charity, non-profit organisation, or company
  • A payment processor or financial institution
  • An endorsement or certification body
  • A mediator for disputes between parties

Inclusion in the registry does not constitute endorsement, verification, or approval of any group's activities, claims, or legitimacy.

Terms of Use

By accessing or using the ClearCause Registry, you agree to the following terms:

1. Acceptance of Terms

Use of this website and its services constitutes acceptance of these terms. If you do not agree with any part of these terms, you should not use our services.

2. Accuracy of Information

Users submitting information to the registry warrant that all information provided is accurate, complete, and submitted in good faith. Deliberately submitting false or misleading information may result in removal from the registry and potential reporting to relevant authorities.

3. Prohibited Uses

You may not use ClearCause Registry to:

  • Submit false, fraudulent, or misleading information
  • Impersonate another person or organisation
  • Harass, defame, or harm other individuals or groups
  • Attempt to gain unauthorised access to our systems
  • Use automated tools to scrape or harvest data without permission
  • Engage in any activity that violates applicable laws

4. Account Responsibility

Users are responsible for maintaining the security of their email verification and any credentials associated with their submissions. You are responsible for all activity conducted under your verified email address.

5. Service Availability

ClearCause Registry is provided on an "as-is" basis. We do not guarantee uninterrupted access to our services and reserve the right to modify, suspend, or discontinue any part of our services at any time.

Privacy Policy

Information We Collect

When you interact with ClearCause Registry, we may collect:

  • Registration Data: Server name, owner name, Discord IDs, email addresses, and other information submitted during registration
  • Report Data: Monthly activity reports submitted by registered groups
  • Concern Reports: Information submitted when reporting concerns about a registered group
  • Technical Data: IP addresses, browser type, and access logs for security purposes

How We Use Information

  • To maintain and display the public registry
  • To communicate with registered groups about their status and obligations
  • To review and process concern reports
  • To improve our services and detect abuse
  • To comply with legal obligations

Information We Share Publicly

The following information is displayed on the public registry:

  • Server/group name
  • Owner/administrator name
  • Registration ID and date
  • Stated purpose and activities
  • Compliance status
  • Summary of monthly reports (if applicable)

Information We Keep Private

  • Email addresses (used for communication only)
  • Discord user IDs and server IDs
  • Detailed financial information
  • Staff notes and internal reviews
  • Reporter identities in concern reports

Data Security

We implement reasonable security measures to protect your information. However, no method of transmission over the internet is 100% secure.

Your Rights

You may request access to, correction of, or deletion of your personal data by contacting us. Note that removing registration data may affect your group's standing in the registry.

Data Handling & Retention

Data Storage

All data is stored securely using industry-standard cloud infrastructure. We use encrypted connections (HTTPS) for all data transmission.

Retention Periods

  • Active Registrations: Retained indefinitely while the group remains registered
  • Removed Registrations: Core data retained for 2 years for audit purposes
  • Rejected Applications: Deleted immediately after rejection notification
  • Monthly Reports: Retained for the lifetime of the registration plus 2 years
  • Concern Reports: Retained for 3 years after resolution
  • Verification Codes: Automatically expire after 10 minutes

Data Deletion

When a group is permanently removed from the registry, their data is deleted from active systems. Minimal records may be retained for legal and audit purposes.

Registration Policy

Eligibility

To register with ClearCause Registry, a group must:

  • Operate primarily through a Discord server
  • Represent itself as serving the public interest or benefit of others
  • Have an identifiable owner or responsible administrator
  • Have a minimum of three trustees or responsible persons
  • Agree to comply with reporting requirements

Application Review

All applications are reviewed by ClearCause staff. We may approve, reject, or request additional information. Review decisions are final and are not subject to appeal, though rejected applicants may reapply with updated information.

Registration ID

Approved groups receive a unique Registration ID (e.g., PIG-ABC123). This ID should be displayed publicly by the group as proof of registration.

Ongoing Obligations

Registered groups must:

  • Submit monthly transparency reports
  • Maintain accurate registration information
  • Notify ClearCause of significant changes to leadership or purpose
  • Respond to compliance inquiries within a reasonable timeframe

Reporting & Compliance

Monthly Reports

Registered groups are required to submit a monthly transparency report. Reports should include:

  • Summary of activities during the reporting period
  • Membership/engagement metrics
  • Notable events, initiatives, or achievements
  • Challenges or issues encountered
  • Financial summary (if applicable, reported as ranges)

Compliance Status

Groups are assigned a compliance status based on their reporting:

  • ๐ŸŸข Active: All requirements met, reports submitted on time
  • ๐ŸŸก Under Review: Reports or activities currently being reviewed
  • ๐ŸŸ  Non-Compliant: Missing reports or failing to meet requirements
  • ๐Ÿ”ด Suspended: Temporarily removed from public registry pending review
  • ๐ŸŸฃ Probation: Reinstated with conditions following compliance issues

Failure to Report

Groups that fail to submit required reports may have their status changed to Non-Compliant. Continued failure may result in Suspension or permanent removal from the registry.

Concern Reports

Members of the public may submit concerns about registered groups. All concern reports are reviewed by staff. We may:

  • Request clarification from the group
  • Add compliance notes to the group's record
  • Change the group's compliance status
  • Remove the group from the registry in serious cases
  • Take no action if the concern cannot be substantiated

Complaints & Disputes

What We Handle

ClearCause may review and take action on:

  • Inaccurate information in registry listings
  • Failure to meet reporting obligations
  • Evidence of fraud or misrepresentation to the registry
  • Violations of our terms of use

What We Do NOT Handle

ClearCause is not equipped to:

  • Mediate disputes between users and groups
  • Investigate criminal activity (report to appropriate authorities)
  • Resolve financial disputes or refunds
  • Moderate Discord server content
  • Take enforcement action beyond the registry

Limitations of Liability

No Warranty

ClearCause Registry is provided "as is" without warranty of any kind. We do not guarantee the accuracy, completeness, or reliability of any information in the registry.

No Endorsement

Listing in the ClearCause Registry does not constitute endorsement, verification, or approval of any group. Users should conduct their own due diligence before engaging with any registered group.

Limitation of Damages

To the maximum extent permitted by law, ClearCause and its operators shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of our services.

Indemnification

You agree to indemnify and hold harmless ClearCause and its operators from any claims, damages, or expenses arising from your use of our services or violation of these terms.

Policy Changes

We reserve the right to modify these policies at any time. Significant changes will be announced on our website and, where appropriate, notified to registered groups via email.

Continued use of ClearCause Registry after policy changes constitutes acceptance of the updated terms.
